Function Events

Dear Guest

On behalf of the Village Table, we thank you for considering our establishment in hosting your function or event. We understand the importance of your requirements, and are dedicated to providing you with the utmost efficiency in service and hospitality

VENUE HERE:

R 20 000.00 (Friday to Sunday) per session – 8am to 5pm/5pm to 11pm
R 25 000.00 (Friday to Sunday) - 12pm to 23h00
R 15 000.00 (Monday to Thursday) per session 8am to 12pm/12pm to 5pm or 5pm to 11pm
The venue is hired until 23h00
Please note that we do not permit venue hire on Saturdays

Our package includes:


  • Private venue hire (bar, dining area & outdoor area)

  • Event coordination during your function

  • Assistance with venue set-up

  • Chairs for the reception venue

  • Umbrellas & couches (for outdoor use)

  • Cake table

  • Gift table

  • DJ table

  • Standard glassware, cutlery & crockery

  • Easel for your table seating plan

  • Dedicated Management, bar & waiter service

  • Private bar facility

  • Parking Tickets on request @ R25.00 per vehicle


The pricing associated with this package is valid until 1st December 2022.

VENUE AVAILABILITY, SET-UP AND BREAKDOWN

Wherever possible, we will make the venue available as early as possible for setup. Breakdown will be required to take place immediately after your event, and the room cleared by no later than 23h59.

FOOD


  • We offer a host of menu options and hence external catering is strictly prohibited, unless Kosher or Halaal meals are required.

  • Please note that a 10% gratuity on all food will be charged.

  • The following policy exists in light of children at your reception:

    • Children 3 years old or under will not be charged for food

    • Children 4 to 11 years will be charged 50% of the full price

    • Children 12 years and over, will be charged full price

    • Children’s rates only apply for Harvest Tables and not set menus


  • All menus must be confirmed no later than 1 (one) month prior

  • Should you have any special dietary requirements, kindly inform our coordinator, who will in turn liaise with the Chef and provide an alternative.

  • All dishes may contain traces of nuts or other allergens so please ensure that your coordinator is notified of any special dietary requirements at your final meeting.


THE BAR


  • The choice of cash, open or limited bar shall be yours. Should you wish to have a limited bar, you will regularly be notified as to the sub-total of the limit. The final bar amount will be added to your bill, which must be settled prior to your departure. A 10% gratuity on all beverages will be charged.

  • Any guests who runs a bar tab, must ensure that the bill be settled upon their departure from the venue.

  • Failure to pay the tab will result in their tab being placed onto your bill.

  • In the month leading to your function, our coordinator will discuss the bar and wine selection with you and finalise your requirements.

  • A full price list of the bar items is available from our coordinator.

  • The list of welcome drinks and other beverages are on request.


VENUE SET UP, RULES & REGULATIONS


  • A breakages deposit of R2 000.00 applies. This will be charged to a credit card prior to your function, and a full recon of any items broken provided to you the morning after your event, complete with the necessary costs. Should no breakages have been recorded then full amount will be refunded within 14 (fourteen) working days.

  • In regards to the function taking place outdoors kindly note that the management of Village Table has the final say in the event of bad weather (being wind, rain and lightning). If the event is to be moved you will be notified no later than 12 hours before the event is to begin. We will always have the interest of safety first.

  • All draping of walls and doors etc. will be for your cost, and will be required to be fire retardant.

  • The use of nails or hooks in walls doors or ceilings is strictly prohibited and any damage to property through any means will be charged accordingly.

  • All candles should be displayed on tables in full glass holders. There will be a surcharge for any stained linen due to candles, red wine etc.

  • Any damage to the Village Table property will be for your account.

  • Village Table will not be held responsible for any loss or damage to hired property including linen, serviettes, cutlery, crockery, candle holders, draping, etc.

  • Right of admission is reserved. Loud music, drunken behaviour, verbal abuse, shouting etc. will not be permitted on the premises.

  • Village Table is a licensed venue and hence no alcohol may be brought onto the premises or consumed from vehicles in the mall car park

  • We do not allow DJs

Village Table will not be held responsible for external suppliers, whether recommended or not. Liaison with suppliers is expected to be undertaken by the event organiser to ensure the necessary levels of expectation and delivery

PAYMENT & FINAL PREPARATIONS


  • Venue hire deposit within 30 (thirty) days of your booking to secure your date.

  • Full pre-payments (one) month prior to the date.


In order to ensure that all is in order for your function, you will be required to have a final meeting with the coordinator a minimum of 14 (fourteen) days before the function to confirm the following:

  • Final numbers.

  • Set-up and procedures.

  • Full payment of your pro-forma invoice (this will include the food, welcoming drinks, snacks and any other incidentals).


Payments to be settled after your wedding:

  • Full bar bill (if open bar).

  • Any overtime charges if applicable.

  • Damages or breakages costs.


Risk, Loss or Damage:


  • The Village Table is equipped with a partial back-up generator. Should the power go out for any reason, the generator will ensure full power is restored throughout the property within 5 minutes.

  • Village Table, its employees, Management Company or anyone else employed at the function, will not be held responsible for any loss or damages to any persons, due to negligence or any other cause whatsoever.

  • It is important that all valuable property, garden or indoor décor is removed after the function, as Village Table or the Pearls Centre will not be held responsible for any losses.

  • Any damages to the Village Table property by suppliers during the build-up or break-down of the venue will be billed to you directly.


CANCELLATIONS


    Village Table will refund your deposit in the event of you cancelling your booking. Should you wish to reschedule your date, the deposit paid will be levied against the new date

The following cancellation charges are applicable:


  • 50% cancellation fee on the total pro-forma invoice if the booking is cancelled less than 30 (thirty) days prior to arrival.

  • 100% cancellation fee if cancelled less than 14 (fourteen) days prior to arrival.

  • Non arrivals or no-shows are subject to a 100% cancellation fee, and you will be charged in full for the number of guests as per your booking.

  • In the event of Village Table does not receive payments on the stipulated dates, we reserve the right to cancel a booking after giving the client notice in writing, unless alternative arrangements have been made.


Assistance will be given to the client in formatting a full budget and allowing for monthly payments to be made according to an acceptable timetable. Village Table reserves the right to cancel any booking forthwith and without liability on its part in the event of any unforeseen circumstances such as fire damage, political unrest or any other cause beyond the control of Village Table The client must confirm all changes and cancellations in writing.
